New Documents

After navigating to the “New Documents” page from the Indigo Pro Dashboard, you’ll be able to see any documents that have been sent into Indigo Pro that don’t match any of the supplier templates that have been setup.

This usually means you need to go and create a document template for anything you see in this page, once the template has been created, any documents that match that template will bypass the new documents screen as Indigo Pro will be able to see which supplier they’re being sent from, and move it into the appropriate section.

UI/ Menu breakdown:

Along the top row in the New documents page, you’ll be able to see the types of information that Indigo Pro will attempt to read from the documents sent into the system:

  • Type: What type of document was sent in by the supplier ( Invoice, credit note, statement, etc)
  • Supplier’s Reg VAT Name: The suppliers’ registered VAT name as retrieved from their VAT Number
  • Vat Number: the suppliers VAT Number
  • From: the email address that the document was received from
  • Received: Date the document was received by Indigo Pro
  • Filename: the name of the attachment sent in by the supplier
  • Document date: the date of the document as read by indigo pro
  • Document total: the total value of the document (as predicted by Indigo Pro)
  • Similarity: the similarity between all documents in a file
  • Progress: the percentage of the document template that has been completed for this document type from this supplier

Document types:

Indigo Pro will automatically try to recognise each document’s type as soon as its been received by the system, usually by attempting to spot the words Invoice, Credit note, or Statement from the document that it received.

It may not always be accurate, so make sure you double check the document type before you start setting up the template

 

     The letter I in a Blue box indicates that it’s an Invoice

    The letter C in a Orange box indicates that it’s a Credit Note

     The letter S in a Green box indicates that it’s a Statement

     The letter N in a Grey box indicates that it’s a New Unclassified document

     The exclamation mark symbol in a Red box indicates that the email doesn’t contain a recognized document format, Indigo Pro will highlight to you if an email contains an attachment that it isn’t able to read, Indigo Pro will ONLY accept documents in PDF or JPEG format
